Description

Request to authorize the City Manager, or his designee, to spend $750,000 in additional payment authority under Contract No. 150327 with Bingham Equipment Company, Contract No. 150328 with Cummings, Inc., Contract No. 150330 with Empire Southwest LLC, Contract No. 150334 with Forklift Exchange, Inc., Contract No. 150337 with Freightliner of Arizona, Inc., Contract No. 150339 with Norwood Equipment, Inc., Contract No. 150340 with Rush Truck Centers of Arizona, Inc., and Contract No. 150341 with RWC International Ltd. (Contracts) for the Aviation Department. Total expenditures will not to exceed $9,050,000 over the five-year aggregate term of the Contracts.  Further request authorization for the City Controller to disburse all funds related to this item.

Summary

The contracts were originally awarded to the Public Works Department to supply necessary parts and equipment for City-owned vehicles. The Aviation Department is requesting to be added as a user of these Contracts. The Contracts are needed to support the Aviation Department's regular vehicle maintenance program and to perform the repair and replacement of OEM parts on City-owned vehicles and equipment on an as-needed basis. The regular vehicle maintenance program will ensure the Aviation Department pool vehicles are properly maintained and are mechanically safe for City personnel and operators.

 

Contract Term

The initial one-year term of the Contracts began on Jul. 1, 2019.  The Contracts have four one-year options to extend the term.

 

Financial Impact

Additional funds in the amount of $750,000 will increase the total value of the Contracts to $9,050,000 over the five-year terms, if all options are exercised. Funds are available in the Aviation Department's budget.

 

Concurrence/Previous Council Action

The Contracts were recommended for approval by the Public Works Department at the Formal City Council meeting on May 1, 2019.
