Summary
The Police Department is working with Guidesoft, Inc. to create a Public Records Tracking/Request system. Change orders to the contract are needed at a cost of up to $200,000 to:
- Connect to the City's enterprise SharePoint storage system using a software tool called Connect365 to store attached documents within the new system.
- Configure the Chase PayConnexion payment gateway, which is the standard payment system used by the City in order to process payments online.
- Develop a custom shopping cart payment process experience for the public facing, online portal of the new system.
Financial Impact
This contract was approved by City Council (Ordinance S-44975) on Sept. 5, 2018, with an original aggregate value of $1,100,000. With the additional $200,000, the contract's revised aggregate value is $1,300,000. The $200,000 is available in the Police Department's budget.
Contract Term
The five-year term of the Guidesoft, Inc. contract began on Sept. 1, 2018. This request is for adding funds for the change orders only, and does not change the length of the contract.
