Description
Request to authorize the City Manager, or the City Manager's designee, to enter into contracts with Coash Court Reporting & Video LLC; Glennie Reporting Services, LLC; Griffin & Associates, L.L.C.; Herder & Associates, LLC; and Miller Certified Reporting, LLC to provide Court Reporting and Transcription Services for the City of Phoenix Law Department. Further request authorization for the City Controller to disburse all funds related to this item. The aggregate value of the contracts will not exceed $144,000. Request to apportion the total combined value among the contract awardees based on the City's needs and resources at discretion of the City Manager or the City Manager's designee.

Procurement Information
In accordance with Administrative Regulation 3.10, standard competition was waived as a result of an approved Determination Memo based on the following reason: Special Circumstances Alternative Competition. The State of Arizona Request for Proposal #BPM007125 Statewide Certified Court Reporting and Transcription contracts were awarded through a competitive process consistent with the City's procurement requirements. The contracts will be utilized to purchase various services related to reporting and transcription, such as appearing for scheduled and unscheduled depositions, providing E-transcripts and ASCII discs, and providing video conferencing/videography as needed. Utilization of these cooperative contracts allows the City to benefit from state government pricing.
Contract Term
The contract will begin on or about September 21, 2026, for a five-year term with a one-year option to extend.
Financial Impact
The aggregate value of the contracts will not exceed $144,000 for the six-year aggregate term.
Funding is available in the Law Department's Self Insurance Retention trust fund.
