Contract Recommendation for Maintenance and Repair - Kubota and Bobcat Equipment (Ordinance S-45190)

 

Description

Request to authorize the City Manager, or his designee, to enter into a contract with Bingham Equipment to provide service for Kubota and Bobcat equipment on an as-needed basis in a contract amount not to exceed $400,000. Further request authorization for the City Controller to disburse all funds related to this item.

Summary

The Public Works Department maintains 96 units of various models of Kubota and Bobcat equipment. These units are used by the Solid Waste Divisions for bulk trash collection and for sorting material at the transfer stations. Other departments including Street Transportation, Water Services, and Parks and Recreation also use Kubota and Bobcat equipment to perform field operations and provide essential City services. This contract will help to provide required services by the only local Kubota and Bobcat authorized Original Equipment Manufacturer service provider.

 

Procurement Information

In accordance with Administrative Regulation 3.10, normal competition was waived as the result of a determination memo citing that there is only one source for these essential maintenance and repair services. Bingham Equipment is the only authorized service provider for Bobcat and Kubota equipment in Maricopa County.

 

Contract Term

The initial one-year contract term will begin on or about Feb. 1, 2019, with four option years in increments of up to one year, for a total contract term of five years.

 

Financial Impact

This contract will have an estimated annual expenditure of $80,000, with an aggregate value not to exceed $400,000. Funds are available in the Public Works Department's budget.
