Description

Request to authorize the City Manager, or the City Manager's designee, to amend the contract with Genesis Resource, Inc. (Contract 158903) to add the Police Department for the purchase and maintenance of equipment to manage access to keys for patrol vehicles. Further request to authorize the City Controller to disburse all funds related to this item. The additional expenditures will not exceed $160,000 and will be funded through the Police Department's authorized budget allocation.

Summary

The Phoenix Police Department does not currently use an electronic system to manage and secure patrol vehicle keys, as all key assignments are handled manually. The Aviation Department utilizes electronic key control systems that allow for secure storage and management of both facility and vehicle keys. After a thorough evaluation, it was determined that the key control systems used by Aviation Department would meet the needs of the Police Department. Leveraging this solution would require an amendment to the existing contract. Implementing these systems would give the Police Department the ability to securely store, track, control, and manage access to patrol vehicle keys, while also generating detailed reports that enhance security, transparency, and auditing capabilities.

 

Amending the existing contract would allow the Police Department to purchase electronic key control systems, enhancing security and management of keys to patrol vehicles, eliminating manual processes, reducing the number of lost keys, and providing robust reporting and auditing capabilities.

 

This item has been reviewed and approved by the Information Technology Services Department.

 

Contract Term

The contract term remains unchanged, ending on June 30, 2028.

 

Financial Impact

Upon approval of $160,000 in additional funds, the revised aggregate value of the contract will not exceed $975,258.  There is available budget in the Police Department's authorized budget allocation.
