Title Record Search Services Contract - RFQ-26-0186 - Request for Award (Ordinance S-52977) - Citywide

 

Description

Request to authorize the City Manager, or his designee, to enter into a contract with DataTrace Information Services LLC to provide Title Record Search Services for the Finance Department. Further request to authorize the City Controller to disburse all funds related to this item. The total value of the contract will not exceed $200,000.

Summary

This contract will provide the City with direct electronic access to a comprehensive and continuously updated Maricopa County title plant database, enabling accurate and efficient research of property records to support key municipal functions such as property verification, tax assessment and legal documentation. By partnering with a qualified supplier experienced in maintaining reliable title plant systems, the City will ensure timely access to essential data, improve operational efficiency and enhance the accuracy of property-related processes across departments.

 

Procurement Information

A Request For Quote procurement was processed in accordance with City of Phoenix Administrative Regulation 3.10.

 

One vendor submitted a quote deemed to be responsive to the posted specifications and responsible to provide the required goods and services. Following an evaluation based on price, the procurement officer recommends award to the following vendor:

Contract Term

The contract will begin on or about July 1, 2026, for a five-year term with no options to extend.

 

Financial Impact
